Defining Role Conditioned Access
The Role Conditioned section of the Templates Information Editor is useful when you want to make the Template or certain Steps within the Template accessible only to members with a specific role. You can also restrict access to a competency level within the role.
Note
You can define role conditioned access to a Step using the Step Information Editor.
To define role conditioned access:
Expand the Role conditioned section of the
Templates Information Editor and add details in the fields.

To define role conditioned access at the Step level:
Go to the
Step Information Editor and expand the Role conditioned section.
In the workspace pane, select the Step for which you want to define role conditioned access.
In the Role conditioned section, add details in the fields.

Enter a description for the role conditioned access.
Roles
Select the roles to which you want to restrict access.
To select the roles:
Click
to view the list of roles.
Select the checkbox corresponding to the role to which you want to provide access. For roles with a competency level, you can select the required level after selecting the role.
Clicking
refreshes the list of available roles.
Action
From the dropdown list, select one of the following options:
Enable – If the member does not belong to the role that you specified, the member can only view the Steps in the Template. The member cannot enter information or validate the Steps.
Display – If the member does not belong to the role that you specified, the member cannot view the Steps in the Template.
Read only – If the member does not belong to the role that you specified, the member can validate Steps, however, cannot enter any information.
When you double click
near Role Conditioned, you can copy and paste the definition as text from one Template/Step level to another Template/Step level.
It displays with a message as shown below.
