Managing the Versions of a Template

The Template versionsTemplate_versions.png tab of the property pane helps you manage the versions of a published Template. You can view all the versions of the selected Template and perform various actions such as setting a version as the current version, assigning a version to another member or a Task Queue, generating a report for the selected version, and so on.

To view the versions of a published Template:

  1. On the main menu, go to Templates > Your Templates.

  2. Select the published Template for which you want to view the version history. The version history can be viewed from the left side dropdown , where the Current version is displayed.

  3. Click Detail_Panel_Icon.png to open the property pane.

  4. Hover over the Hover.png icon. The list of tabs is displayed.

  5. Select the tab Template_versions_icon.pngTemplate versions. This tab will be visible only when a published Template is selected.

    The version history of the selected Template is displayed. The current version is listed first. For each version, a brief overview is displayed.

  6. To view the information of all the versions of the Template, click Expand All. To view the information of a particular version, click Expand.

    For each version, you can view the following information:

    • Version number - The version number of the Template version is displayed.

      The current version is indicated accordingly.

    • Comment - The edition goal and comments provided during the publication of the Template version are displayed.

    • Status - The status of the Template version can be Current, Available, or Unavailable. The date of status change is also displayed.

    • Publish Date - The publication date of the version is displayed.

    • Published By - The userid of the member who published the Template version is displayed.

    • External Change Tracking Reference(s) - Any change tracking reference provided for the version, during publication, is displayed in this section.

  7. Click the dropdown icon corresponding to a version to view the options.

    The dropdown list provides the following options:

    Option

    Description

    View

    View the selected version of the Template.

    Run

    Execute the selected version of the Template.

    Set current as of

    This option is visible only if the version status is 'Available'. You cannot set an unavailable version as the current version.

    Choose the future date from when you want the selected version to be the current version. When a Template version is set as the current version, it becomes the version used by default.

    Set unavailable as of

    This option is visible only if the version status is 'Available'. Choose the date from when you want the selected version of the Template to be made unavailable. The version status becomes 'Unavailable' from the future date selected. An Unavailable version cannot be executed.

    Set available as of

    This option is visible if the version status is 'Unavailable'.

    Choose the future date from when you want the selected version to be made available.

    Export

    Export the selected version of the Template. For more information see Exporting a Template.

    A ZIP file is downloaded to your device, The zipped file contains an Excel Workbook that has all the information of the Template.

    If the Template contains media objects (such as images, video, and so on), they are included in a media directory inside the zipped file.

    If there is a component, the Template in the component is also exported and included in the zipped file.

    Assign Template

    Assign the selected version of the Template to one or more members. For more information, see Assigning a Template.

    Report

    Generate a report for the selected version of the Template.

Initiate a New version

A new version of the Template can be Initiated from the older versions available. Changes may be required to a published version of a Template that is currently being used. In such cases, a new version can be initiated and changes can be made to the new version.

  1. On the main menu, go to Templates > Your Templates . Select a Published Template for which a New Version needs to be Initiated.

  2. From the dropdown, select either the Current Version or Previous Versions based on the requirement to Initiate a New Version. Previous version becomes the Source Version.

  3. Click on Initiate New Version

    On the Submit Template dialog box, Select Lifecycle , enter the Edition Goal and the New version number. Both the Source version and the Current version are displayed on the screen.

  4. Click Submit.

    The Template is submitted to Enterprise.

  5. The Template undergoes the Publication Process as explained here. The Template is moved to 'Template Under Edition' before publishing. After the Publication process it is moved to Your Template.

  6. The published version is now available as shown below. The image shows the Current Version with the Version number .

    Once the New version is Initiated, the dropdown displays Current Version along with all the available versions.The new version becomes the Current Version.

Important

The Current, Available and Unavailable versions are colour coded as shown below.

Current version is Orange.

Available version is Blue.

Permanently Unavailable is Red.

Will be Available at a later point is Grey.
