Using Functional Types

A Functional Type added to the Template level indicates a document type. If used as a marker on Steps, it can help to identify Steps.

The user can identify the Step or Template by an icon corresponding to the Functional Type.

Important

To create or modify a Functional Type, the user must be associated with a Security Role as shown below.

To create a Functional Type:

  1. On the main menu, go to Templates > Functional Types.

    The section Functional Types opens.

  2. Click Create new Functional Type.

  3. Enter Name.

  4. Enter Letters.

  5. Click Icon.png and Select a Color as shown below.

  6. Click Select an Icon.

    You can search through the Search Icons, or you can select an Icon from the list as shown below.

  7. Click Create.

    The Functional Type is created.

    It is displayed in the Library Pane with the Icon, Color, Letters and Name of the Functional Type as shown below.

Note

Until all the mandatory details are provided, the Functional Types cannot be saved.

In this case, the mandatory field Letters is empty.

To add Functional Types to a Template:

  1. Go to Templates > Your Templates.

    The section Templates opens.

  2. Select the required Template from the Library Pane.

  3. In the Template Information Editor, scroll down to Functional Types.

  4. Select one or more Functional Types from the dropdown list as shown below.

  5. Click OK.

    When the Template is linked to the Functional Types, it will be visible on Published Templates as well as Private Templates that are in the Publication Process.

    You can also see the Icon at the top as shown below.

    When you hover over the Icon it displays the Functional Type Name and Letters.

    When you click an Icon, it displays with the Letter name as shown below.

    An Icon is no longer visible.

    When you click again, it displays with the Icon and Letter name.

    For Published Template, the Icon(s) is visible at the left side panel and top of the Template.

    The Template with the Functional Type linked can also be seen while running a Task.

    When Functional Type is linked to the Template, it will only display on the Started and Done Tasks.

To add Functional Types to a Step:

  1. On the main menu, go to Templates > Your Templates.

  2. Select the required Template.

    Go to Step Information Editor.

  3. Go to Functional Types.

  4. Select one or more Functional Types from the dropdown list and click OK.

    The selected Functional Type is displayed at the Step level.

In the section Tasks, Functional Types can be filtered as shown below.

In the section Inbox, filter the Functional Types from the dropdown list as shown below.

By using search filter

  1. Go to Search option, click Open all Filters.

  2. Select the Functional Type from the list as shown below.

  3. Click Apply.

    The list of Templates with the selected Functional Types is displayed.

Note

Functional Types are also shown during the run time on the Template/Step level.

If you have more than one Functional Type defined, you can choose the order in which you want them to be displayed in the Template/Step editor.

You can arrange Functional Types in the required order using the Reorder button as shown below.

The list of Functional Types can be re-ordered in ascending (A-Z) or descending (Z-A) alphabetical order.

The list of Functional Types can also be arranged in a customized order. Place the cursor as shown below and drag to the required position.

To save the reordered list, click Save order.

Note

To close the re-ordering dialog box, click Close.

To return to the existing order, click Revert.

The list gets re-ordered.
