Creating a Document Management Space
A Document Management Space is used to organize Documents of specified Document Type(s).
To create a Document Management Space:
From the main menu, navigate to Enterprise > Document Management Space > Document Spaces.
Click Create.
Enter the Name.
[Optional] Add a Description.
Click
to select the Scope of the Document. There are two types of Scope.
Internal Documentation : By default, the Documents are stored and maintained within FieldLogs.
External Documentation : The Documents are stored in an external location. You can add the external location link/path in the URL tab.
[Optional] Click the field under Classification.
Select the required Custom Field that defines the Path.
Click Submit. The uploaded Documents are organized using the specified Path.
In the example below, the Path is ABC > Maintenance > Base. They are values of the Custom Fields Customer, Department and Wing.
Click Add a new classification. This feature allows you to classify Documents in a Document Space. When you need to design a Path other than Custom Fields, this option can be used.
On clicking Add a new value, you can classify Documents based on Text, Document Field, Property, Classification, Calculated Date and Document Type.
In the example below, Documents are classified based on the Document Type.
[Optional] Click Add custom field property. Custom Fields allows you to define additional user-defined properties.
Select Custom Field for the Document. Click the Submit button.
In the example below, Contract type is selected.
A Custom Field is set for the Document. In the below example, you can enter values for this property while uploading new Documents.
Click
to select the Document Type(s). The user will need to select the required Document Type(s).
The Document Type selected here will define the type of Document that can be created in this Document Space.
In the example below, the Document Type Contract Document is selected.
Click Create.
A new Document Space is created.
